What the Hotel and General Manager of the Hotel can expect from Hospitality Concierge:
 
A sponsor-based guest directory is the choice for many hotels. This option provides the hotel with an opportunity to get its next Guest Directory free. Depending on the type of directory they want, the proximity of the property to surrounding businesses, their hotel's image in the local community, their occupancy rate, the type of traveler they attract and their willingness to participate in the process, a Hospitality Concierge sales agent could potentially generate most or all of the support they will need to cover the costs of producing their next Guest Directory.

The concept of an advertising based guest directory is to have production costs covered by revenues generated from the sale of ads in the back of the guest directory. A Hospitality Concierge sales agent would come to the hotel and solicit advertising from the surrounding community to support the guest directory. This arrangement not only helps you, the hotel, but it also provides local merchants with a low cost alternative to other, more expensive, local advertising mediums.

It takes teamwork to achieve a free guest directory. Each general manager can only benefit from networking in the local community. The Hospitality Concierge sales agent will actively promote the hotel in the community as well as build goodwill between the hotel and the surrounding local businesses. This will serve to enhance the perception of the property by the local community.

After signing an agreement with Hospitality Concierge for a ad based guest directory we will add the property to our list of available hotels. The property is then offered to Hospitality Concierge sales agents who wish to work in your area. Once a Sales Agent expresses an interest in working a property, our scheduler will call to book a reservation.

Each hotel is required to provide the Hospitality Concierge Sales Agent with a comp room, parking  local phone and fax privileges for a 2 to 3 week stay depending on the type of product they choose.

While on property the sales agent will need to meet with the GM at least twice during the sales effort. In the initial meeting, our agent will gather any leads the GM might have and drop off the guest property work book. This is the time for the GM to point out any businesses he/she does not want our agent to solicit. (Keep in mind that too many restrictions could potentially result in our inability to complete the sales effort.) In the final meeting, our agent will pick up the guest property workbook and the GM will be asked to sign off on the "approval of sponsors" at this time.

During the first few days of the sales effort, the sales rep will be compiling a list of leads, canvassing the local area and lining up appointments. The sales agent also uses this time to determine whether or not he/she will be able to achieve adequate ad sales. The rep will take note of the number of local businesses surrounding the hotel, the proximity of the hotel to other hotels, local interest in the project and the hotel's image in the community.

This is a good time for the GM to ask questions. This creates an opportunity for the GM and the sales agent to work together to achieve the highest sales possible and to address any potential challenges.

The hotel must understand that it's vital for the hotel to recommend only those merchants who purchase an ad in the guest directory. Lobby boards, other ad based products in the guest rooms and allowing local businesses who do not advertise in the guest directory to leave menus, coupons and free food for hotel employees at the front desk can and will kill a guest directory sales effort.

Once the sales effort is complete, our sales agent will check out of the property and send the project to the Hospitality Concierge corporate office. At this time, we will verify all completed sales. In the event that adequate ad sales are not achieved for the guest directory product chosen, Hospitality Concierge will call to discuss the hotel's options. They are:

1. Return all checks to sponsors without prejudice. Guest directory shall not be published.
2. Substitute a Guest Directory product which more adequately reflects the advertising revenues received.

We make every effort to ensure that the entire guest directory experience is a positive one for the hotel. If, at any time, the GM feels that our agent is not making a good faith effort or if any kind of troublesome situation arises, we encourage the GM to call and discuss this with Hospitality Concierge.
